YOUR RESPONSIBILITIES
*Maintain daily communication with Resident Managers across the assigned portfolio.
*Deliver exceptional customer service by responding to tenant inquiries and resolving issues promptly via phone, email, and in person.
*Prepare and maintain accurate records, including leases, welcome packages, assignments, amendments, and correspondence.
*Conduct regular audits of tenant ledgers to ensure accuracy.
*Follow up on tenant arrears and support collection efforts as appropriate.
*Process and update monthly pre-authorized debit changes for tenant accounts.
*Prepare and distribute daily, weekly, and monthly notices related to rent, renewals, and other updates.
*Perform data entry related to lease administration while maintaining well-organized filing systems.
*Utilize CRM tools to track tenant interactions and manage relationships effectively.
*Collaborate with internal and external stakeholders to provide support as needed.
*Generate beginning-of-month cheque requests.
*Provide occasional front desk and reception coverage as required.
*Visit properties within the portfolio to photograph vacant suites, renovated units, and exteriors, ensuring all images are properly catalogued for marketing use.
*Assist in updating online listings, including Facebook Marketplace and other rental platforms, to keep advertisements accurate and current.
*Support general administrative and operational tasks as required.
WHAT WE’RE LOOKING FOR
*High school diploma or equivalent (GED required).
*Previous experience in property management or a related field.
*Familiarity with Spectra or similar CRM systems is an asset.
*Strong administrative skills, including proficiency in data entry and Microsoft Office applications.
*Excellent customer service skills with the ability to build positive relationships and maintain professionalism with tenants.
*Strong verbal and written communication skills, enabling clear and effective interaction with tenants and colleagues.
*Highly organized with strong attention to detail and the ability to manage multiple priorities simultaneously.
*Ability to travel to local properties within the portfolio (valid driver’s license and reliable vehicle required) to take suite photographs and support leasing-related tasks.
